Data protection and information for the management of event registration data

 

The FHV handles your personal data carefully and conscientiously. When processing data, we observe the legal national and European data protection regulations. 

Purpose of data processing, data categories:
We process all personal data that you have disclosed and transmitted to us as part of your registration for events (title, academic degree, name, company, address, e-mail address, telephone number, event in question, other information) for the organization and processing of the event you have requested and, if necessary, for the reservations required for you. This data is processed automatically. Registration constitutes the conclusion of a civil law contract for participation. If you do not provide us with the necessary data, we will not be able to process your registration.

In addition, your data will be used for direct marketing purposes for similar events or services of the FHV, unless you object to this processing.

If the event you have selected is part of the "Blickpunkt Wirtschaft" series, we will inform you that the data you have provided will be passed on internally to the Department of Economics. You will then be asked whether you agree to receive the newsletter. As soon as you have registered for the newsletter, we will send you a confirmation e-mail with a link to confirm your registration (double opt-in). You can cancel your subscription to the newsletter at any time. We will then immediately delete your data in connection with the newsletter mailing. Furthermore, we inform you that the contact data management for the newsletter is carried out by the company "The Rocket Science Group LLC d/b/a MailChimp, (675 Ponce De Leon Ave NE, Suite 5000, Atlanta, Georgia 30308 USA, privacy@mailchimp.com) in short "Mailchimp", where your personal data is processed and stored. Photo and video production: The production of image and/or video recordings of persons may also constitute a collection of personal data within the meaning of the General Data Protection Regulation. 

We therefore inform you that images and/or video recordings (including audio recordings if applicable) will be made during the event and that these may also be made of your person. This will take place without you being entitled to financial compensation; the recordings may be used for FHV marketing purposes. The processing primarily serves marketing purposes by utilizing state-of-the-art media using this image and/or video material (e.g. on the homepage of FHV GmbH, in social media such as Facebook, You-Tube, etc.) and essentially ensures the competitiveness of FHV and its existence. It is only used to the extent necessary for the purpose of the company and in a comprehensible manner and in compliance with appropriate technical and organizational security measures to protect the data.

Legal basis:
You provide us with the data, among other things, to carry out pre-contractual measures, namely to register for an event and to conclude the corresponding contract for participation in the event you have chosen.

The provision of your personal data is not required by law, there is no obligation to do so. However, it is necessary so that we can consider your registration for the event and carry out the necessary processing. If you do not provide us with the required data, we will not be able to process your registration and you will not be able to attend the event.

The use of your data to send you invitations to FHV events (direct marketing) is legitimized as a legitimate interest of FHV, whereby the legitimate interest of FHV arises from its educational mission and its existence in competition (see recital 47 of the GDPR, www.privacy-regulation.eu/de/erwaegungsgrund-47-DS-GVO.htm). You can object to this processing for direct marketing purposes at any time in accordance with the provisions of Art. 21 GDPR by sending an email to veranstaltungen@fhv.at. In these cases, the lawfulness of the processing remains unaffected until you withdraw your consent. In this case, you will not receive any (further) messages for direct marketing purposes.

The production of photos and videos takes place on the legal basis of the overriding legitimate interests of FHV pursuant to Art. 6 para. 1 lit. f GDPR, which consist in the implementation of marketing measures to ensure the company's competitive position. There is no legal or contractual obligation for photos or video recordings. Please inform the persons taking photographs and video recordings directly at the event if you do not wish to be photographed or filmed.

Notwithstanding this, due to the fact that the event as such is photographed and filmed, it cannot be guaranteed with absolute certainty that your image will not appear on any recording unless you do not attend the event. As stated above, the creation of photo and video recordings is in the overriding legitimate interest of the FHV.

As a data subject, you have the right to object to the processing of your personal data in accordance with the provisions of Art. 21 GDPR.

Recipients:
If the event is organized jointly or in collaboration with a cooperation partner, funding body or partner company, the data you have disclosed to us may also be forwarded to them. This is done in the context of contract fulfillment.

If participation fees are charged for attending the event, FHV may use an external service provider for billing purposes.

Xing Events registration tool:

Registration for events can be carried out using Xing Events. For this purpose, personal data is transmitted to Xing Events GmbH and New Works SE, both based at Dammtorstraße 30, 20354 Hamburg, Germany. The following types of data are transmitted:

  • Exhibitor:inside: Salutation, title, name and company, e-mail address, password, other data you provide us with.
  • Visitors: Salutation, title, name and company, e-mail address, other data you provide to us.

 

An agreement on joint responsibility pursuant to Art. 26 GDPR has been concluded between FHV and Xing Events GmbH or New Work SE (hereinafter referred to as "XING"). Accordingly, XING is solely responsible for the technical and organizational data protection measures relating to the technical operation of the platform. Joint responsibility exists with regard to the processing of participant data and the UASI is responsible for any import of participant data, the selection and sending of advertising or information and the collection and processing of additional fields during participant registration. Data subjects can contact both FHV and XING to exercise their data subject rights. Retention period:
We store the information that you have entered and submitted in the registration form, including the name of the event for which you have registered. Your data will continue to be stored as long as you are in contact with us. Your data will be deleted if we do not receive a reply from you for five years. Irrespective of this, we reserve the right to delete your data earlier.

If participation fees or other payments are made by you in connection with the event, these may be stored for up to 20 years, depending on the type of event.

Any images/video material (including audio recordings) taken of you will be stored for as long as is necessary for the purposes for which they are processed. In particular, the storage period depends on the type of image (number of people, environment depicted), the context in which the recording was made (public event, lecture, graduation), suitability for presenting the history of the FHV, suitability for use at anniversaries and commemorative publications, suitability for use on the website and in social media/networks as well as in "You-Tube" etc., degree of interference with confidentiality interests, suitability for archiving.

This processing is necessary to protect the legitimate interests of the UASI. In the event of legal disputes, data may be stored as evidence until the end of the legal disputes.
 

Your rights under the GDPR:
We would like to point out that you generally have the rights to information, correction, deletion, restriction, data portability, revocation and objection with regard to your personal data. You can send inquiries or requests in this regard to datenschutz@fhv.at. If the processing is based on consent, you can revoke this consent at any time by sending an email to datenschutz@fhv.at. If the processing is based on the legitimate interests of FH Vorarlberg, you can raise a justified objection to this, taking into account the provisions of Art. 21 GDPR, whereby the legality of the data processing carried out until the revocation or objection remains unaffected by the revocation.

If you are of the opinion that data processing is unlawful, please contact us at datenschutz@fhv.at. In addition, you have the right to lodge a complaint with the Austrian Data Protection Authority as the competent supervisory authority.
